Why office fit-out contractors specify architectural wrapping

Office refurbishments rarely involve a full strip-out and rebuild. More commonly, an occupier is refreshing a leased space at lease renewal, rebranding following a merger or acquisition, or upgrading a partial refurbishment where the main structure and built-in joinery are sound but the surface finish has aged beyond the current specification standard.

In these scenarios — which make up a large proportion of the UK commercial office refurbishment market — architectural vinyl wrapping provides a specification path that is faster, cheaper and less disruptive than replacement joinery, while achieving finish quality that satisfies commercial interior standards.

The economics are straightforward. Replacing a breakout kitchen in a mid-size office — procurement, delivery, installation, making good — typically costs in the region of £3,000–£8,000 depending on kitchen size and specification. Wrapping the same kitchen costs a fraction of this, is completed in a half day without any structural work, and achieves a visual result that is for practical purposes identical to a new kitchen. For a 10-floor office building undertaking a phased refresh of every floor's breakout kitchen, the aggregate saving is a material budget item.

Which office surfaces are suitable for architectural wrapping

Architectural film works on flat and near-flat surfaces where the substrate is sound and the surface profile allows clean application. In an office environment, the primary applications are:

Breakout kitchen units. This is the most common office wrapping brief. Wall unit doors, base unit doors and drawer fronts in staff kitchens and breakout areas are flat-panel MDF or chipboard — the ideal substrate. A standard 8–15 door office kitchen takes a half day to wrap and produces a transformation that routinely exceeds client expectations for the spend. High-contact surfaces like unit doors are specified with a durable film grade appropriate to the cleaning regime.

Reception desk fascias. Reception desks are the highest-visibility surface in an office — the first thing clients and visitors see. Wrapping a dated or damaged reception desk fascia in architectural film is a one-day programme with no structural work. Stone-effect, brushed metal or a brand-matched solid colour are the most common specification directions for reception wrapping in current office design.

Meeting room and boardroom furniture.Boardroom table edge banding and under-panel sections, credenza panels, built-in storage unit doors and meeting room joinery. These surfaces receive moderate contact and are typically flat-panel — well suited to film. Edge profiles need assessment at survey; complex or curved edges may not be suitable.

Partition panels and feature walls.Demountable partition frame panels, glass partition manifestation panels, feature wall sections and built-in MDF or plywood panel runs are all wrappable. Large-format architectural film across feature wall panels is one of the most cost-effective ways to deliver a branded or designed interior finish at speed. Frequently used on re-brand fit-outs where the brand's colour palette or material aesthetic needs to be introduced into an existing office.

Storage joinery. Built-in storage unit doors, filing cabinet side panels and shelving door surfaces. Older office furniture that is structurally sound can be updated to match a new interior scheme without replacement — avoiding the procurement lead time and disposal cost.

Office bathrooms and WC areas. Vanity cabinet doors, back panels, mirror surrounds and partition door faces. WC areas are frequently the most neglected surfaces in a partial office refurbishment — bringing them into the specification with film costs a fraction of a WC fit-out and has a measurable effect on the overall finish of the space.

What does not work

Film is not suited to textured surfaces (highly textured plaster, rough masonry, deep-textured laminates), complex compound curves and moulded profiles, or substrates with significant damage — deep scoring, swelling, delamination. Specify a survey before commitment on any surface where substrate condition is uncertain. The survey identifies issues before they become programme problems.

Film specification for office environments

Film selection for an office environment depends on the surface type, contact level, cleaning regime and aesthetic specification. The main considerations:

Film grade by contact level. High-contact surfaces — kitchen unit doors, reception desk panels, meeting room storage doors — should be specified with a premium cast or hard-calender architectural film with a durable topcoat. Lower-contact surfaces — feature wall panels, WC cabinet doors — can tolerate a wider range of film grades. A blanket specification of the same film across all surfaces in a project is not always correct; differentiate by application.

Finish direction. Current specification trends in the office fit-out market favour matte finishes, concrete-effect panels, dark woodgrain (particularly ebony, wenge and dark oak), brushed metal in warm tones, and textured stone-effect for reception surfaces. Architectural film covers all of these — with better price-per-square-metre than the real material alternatives in most cases.

Colour matching and brand consistency.For an office re-brand where the occupier's colour palette needs to be present in the surfaces, specify solid colour architectural film matched as closely as possible to the brand reference. Provide a RAL, Pantone or NCS reference and we will match from the available film range. Where exact colour matching is critical, confirm samples against the brand standard before ordering.

Reversibility for leased spaces. Film applied to office surfaces can be removed cleanly at lease expiry, leaving the substrate in its original condition for landlord handback. This is a specific commercial advantage for occupiers in leased space — the surface can be refreshed without any dilapidations liability for the film installation itself. Confirm the landlord's position on this at brief stage for any office where the lease terms restrict fit-out works.

Integrating wrapping into an office fit-out programme

Wrapping is typically a late-stage activity in a fit-out programme — it follows decoration and is completed when the surface substrate is clean, dry and finished. The specific sequencing dependencies are:

Wrapping follows decoration. Painted surfaces need to be fully cured before wrapping — fresh paint and the solvent in some adhesive films are incompatible, and poorly cured paint reduces adhesion. Allow adequate cure time from final coat to wrapping; confirm with the installer if using specialist paint products.

Wrapping follows final clean. Dust from construction and finishing is the enemy of clean film application. Surfaces must be clean before wrapping. If the programme is running in a live fit-out environment with ongoing work, schedule wrapping at the end of the programme for each zone rather than in the middle of other trades.

Wrapping is not on the critical path.Unlike joinery procurement (which can be a critical path item), wrapping film is available from stock. For a well-specified scope, wrapping installation can typically be mobilised within 2–5 days from order. This means wrapping can be confirmed as a line item relatively late in the specification process without programme risk.

Access requirements for occupied offices.For refurbishments in occupied offices, wrapping can be scheduled around the working day. Breakout kitchen work is typically scheduled after hours — a half-day kitchen can be completed in an evening session. Reception and feature wall work can sometimes be completed during working hours with minimal disruption, depending on the access constraint. Confirm the access plan with the occupier's FM team early.

How to brief an office wrapping installer

An accurate brief produces an accurate quote and avoids programme risk. For an office wrapping scope, a complete brief includes:

Surface schedule. A list of surfaces by location — floor, area, item type and dimensions. “Reception desk fascia, 4.2m linear, two panels” is a brief; “reception area” is not. For kitchen units, specify unit count and door/drawer count per unit.

Finish specification. RAL/Pantone reference, material sample, design reference or a description of the aesthetic direction. Where there are multiple finishes across different surfaces — e.g. woodgrain for kitchen units, brushed metal for reception — specify by surface.

Programme timeline. When does wrapping need to be complete? What is the sequence dependency (what is wrapping following)? Is the building occupied during installation?

Access and health and safety. Site induction requirements, RAMS requirements, CDM duties in the programme, any permit-to-work systems in the building.

White-label requirement. Are we attending as your subcontractor — under your brand — or as a named WRPX installation? We default to white-label. Confirm at brief stage.

Sign-off format. What photographic or written documentation is required at handover? By surface, by floor, by area? Define the format before mobilisation.

Typical office wrapping programme parameters

For reference, some indicative parameters from commercial office wrapping projects:

Breakout kitchen (8–12 unit doors).Typically 3–4.5 hours for experienced installers. Includes substrate cleaning, film cutting, application and edge finishing. An 8am–1pm session covers most standard office kitchens without running into the working day.

Reception desk fascia (3–5 linear metres).Typically 3–5 hours depending on panel count and profile complexity. Reception desks with multiple seams, cut-outs for cable management or backlit panels require more time; discuss these at survey.

Feature wall panel run (10–20 linear metres).Typically 5–8 hours for a single large-format panel run with butt joins. Multiple smaller panels take longer per square metre due to edge work at each panel boundary.

Meeting room storage unit (4–6 door cabinet).Typically 2–3 hours including preparation, film application and edge finishing.

These are indicative. Actual times depend on film specification, substrate condition, access constraints and working environment. A site survey before programming produces more reliable time estimates for programme planning.
